Beyond Bedtime Program Partner Policies and Guidelines

WHO WE ARE

Beyond Bedtime is a national 501(c)(3) nonprofit organization that helps children discover and experience the superpower of sleep, so they can wake up ready to thrive. Since 2001, we have provided over 8.7 million inspiring storybooks and cozy pajamas to children nationwide who are experiencing challenges beyond their control, as well as critical resources for caregivers to support children at bedtime. Through our network of Program Partners, Volunteer Chapter Presidents, and Sleep Education Centers in New York, Detroit and Atlanta, our goal is to help children everywhere build healthy sleep habits—because Tomorrow Starts Tonight.

CRITERIA FOR BECOMING A PROGRAM PARTNER

To be considered, an organization must meet all the following criteria:

  • Provide 501(c)(3) designation letter or other proof of tax-exempt status in the US 
  • Provide Articles of Incorporation (for a religious institution) 
  • Provide EIN (Employer ID Number)  
  • Work with children within the age range of newborn to 12 years
  • Offer donations free of fees or costs to recipients
  • Not offer donations for resale
  • Consent to provide feedback to Beyond Bedtime as described below 
  • Return completed application form to Beyond Bedtime

GENERAL

In order to meet and maintain Program Partner status, all partners must: 

  • Represent Beyond Bedtime in a courteous and professional manner when acquiring donations from donors 
  • Complete yearly re-application with any changes in contact information, staff, physical or storage address, program size, operations, or activities, participant eligibility, 501(c)(3) status, etc.  

Please note, completion and approval of the application does not guarantee Program Partner will receive in-kind donations. 


RECEIVING BEYOND BEDTIME DONATIONS

A Program Partner receives donations from:

  • One of our individual/group donors in your geographical area
  • One of our Corporate Partners
  • Beyond Bedtime Volunteer Chapter President 

DIRECT DONOR OR SEASONAL CORPORATE PARTNER DONATIONS

How It Works: 

Individual donors, groups, or Corporate Partners who have collected donations in their local area report the amount collected to Beyond Bedtime. Beyond Bedtime, or one of its Volunteer Chapter Presidents, then identifies a local Program Partner to receive the donation. 

To receive the donation, the Program Partner must be able to:

  • Accept the donation quantity and type of donation (i.e., books and/or pajamas)
  • Accept the size or age range of the donation 
  • Store the donation (if necessary)
  • Provide adequate transportation to pick up donations from Corporate Partners (if necessary)
  • Demonstrate reliability and responsiveness
  • Provide a written copy of receipt (for large donations)

Please note:

Individual donors or Corporate Partners may contact the Program Partner directly to coordinate a mutually convenient drop-off or pickup time for the donation. Partners must not solicit the donor for future donations.

REQUESTING A DONATION DIRECTLY FROM VOLUNTEER CHAPTER PRESIDENTS

How It Works: 

For Program Partners located in an area with a Chapter President, please email them directly regarding your needs. Please note that Chapter Presidents are volunteers and cannot guarantee fulfillment of any given request.

For Program Partners located in an area with no Chapter President, pajamas & books are distributed via local in-kind pajama drives and Corporate Partners (Please see section “DIRECT DONOR OR SEASONAL CORPORATE PARTNER DONATIONS”).  We cannot fulfill direct requests for pajamas or books from our national office at this time.


STORAGE AND DISTRIBUTION

Storage:

  • Donations must be stored in a secure location to which only members of your organization have access. 

Distribution:

Donations must be given to children (ages newborn to 12 years) who are experiencing adversity and may not be used for the following purposes: 

  • Personal use by Program Partner employees or volunteers 
  • Fundraising, distribution to the general congregation of a religious institution, or distribution to the general public 
  • Sale or exchange for profit or for the financial benefit of the Program Partner or its representatives

Donations must be distributed regardless of gender, race, or religious background. In addition, Program Partners must:

  • Not require attendance at a religious service to receive donations 
  • Not have as a primary purpose the advancement of a prescribed belief or observance
  • Respect Beyond Bedtime’s core values

Donations must be given free of charge and Program Partners must not:

  • Trade or sell the donations (this includes fundraising such as sales, raffles, garage sales, or thrift stores) 
  • Charge a fee of any kind for access to pajamas and books (this includes fees for administration, maintenance, transportation, events, or any other fee to recipients)

REQUESTS FOR FEEDBACK

Beyond Bedtime requires Program Partners to supply occasional feedback to improve services and to obtain funding so Beyond Bedtime can continue to provide its partners with donations.  Partners agree to:

  • Respond to Beyond Bedtime surveys in a timely fashion
  • Provide periodic documentation such as pictures, photos, and notes from children/families who received donations, in keeping with such partner’s privacy policies; and
  • Provide Beyond Bedtime with occasional testimonials about how the donations affect the children supported by the partner, in keeping with such partner’s privacy policies.
  • For large donations, a written copy of receipt is required. 

POLICY VIOLATIONS

Violations of any of the above policies are taken very seriously and will be addressed on a case-by-case basis. Beyond Bedtime reserves the right to approve or deny distributions to your organization and/or suspend or revoke Program Partner status.
